What is Instant Search?

Instant is a free, fully offline Mac app that finds files by what is inside them: type what you remember — a lease clause, a birthday present idea, a vet's advice — and it surfaces the matching note, document or photo, with the relevant passage highlighted.

Unlike title keyword search, it understands the semantics of your files, including photos and scans with no text layer. There is no account and nothing leaves your Mac; the search model (about 1 GB) is downloaded once, and after the first index only changed files are reindexed.

Key features

  • Semantic search across documents, photos and scans — describe what is inside
  • Reads PDF, scanned PDF, DOCX, RTF, ODT, Markdown, text and source code, plus HEIC, JPEG, PNG, WebP, GIF and TIFF
  • Two-key launcher (Option-Space) from any app, results changing with every keystroke
  • Fully offline — no account, no cloud, searches never leave your Mac
  • Searches every folder you pick, not just the Photos library
  • Only changed files are reindexed after the first pass

Pros

  • Free, with no account and no subscription
  • Fully offline — files and searches never leave your Mac
  • Finds files by meaning, not just filenames
  • Covers documents, photos and scans in every folder you pick

Cons

  • Mac only — macOS 15 or newer on Apple Silicon
  • The first index needs a ~1 GB local model download and can take hours for a big photo library

How to choose the right Productivity tool

When choosing a productivity tool, look first at how it fits the way you already work. The best tools connect with the apps you use every day — email, calendar, documents and chat — instead of becoming one more place to check. Automation matters most where work repeats: summaries, reminders, scheduling and turning notes into tasks are where AI genuinely saves time. Check whether the free tier covers your real usage, how the tool handles your data and privacy, and whether it works on the platforms you live on — web, desktop and mobile. A slightly less powerful tool that your whole team actually adopts beats a feature-rich one nobody opens.
